NGO Module Guide
Configure NGO compliance fields, manage donors, generate 80G receipts, export Form 10BD, track FCRA compliance, manage grants and onboard volunteers.
Step 1 — Configure NGO compliance fields
Go to Settings → Company → NGO Compliance. Fill in:
- DARPAN Unique ID — Niti Aayog registration number
- 12A / 12AB registration number and validity date
- 80G certificate number and validity date
- FCRA registration number, annual return date and renewal date
- PAN number of the NGO (used on 80G receipts)
Set validity dates accurately — the system sends expiry alerts 90 days in advance for both the 80G certificate and the FCRA renewal.
Step 2 — Onboard donors
Go to NGO → Donors → Add Donor. Fill in donor name, PAN, email, phone and address. The PAN is required for 80G receipt generation and Form 10BD export. Donors can be tagged by cause area or donor tier for segmentation.
For bulk import, download the donor CSV template from NGO → Donors → Import, fill it in and upload.
Step 3 — Record a donation
Go to NGO → Donations → New Donation. Select the donor, enter the amount, date, mode of payment (cheque, NEFT, UPI, cash) and the cause/project it's attributed to. Click Save. The system immediately generates and stores the 80G PDF receipt in S3.
Step 4 — Download or email an 80G receipt
Open any donation record and click 80G Receipt. The PDF is pre-filled with your organisation's 80G certificate number, the donor's PAN, donation amount, date and mode of payment. Click Download to save or Email to Donor to send directly.
Step 5 — Export Form 10BD
Go to NGO → Compliance → Form 10BD. Select the financial year (April–March). Review the list of eligible donations. Click Export CSV. The CSV is in the exact format required by the Income Tax e-filing portal — upload it without any reformatting.
Only donations with a verified donor PAN are included in the Form 10BD export. Ensure all donor PANs are entered and validated before running the export.
Step 6 — Manage grants
Go to NGO → Grants → New Grant. Enter the grant name, funder, total amount, start date and end date. Add milestones with target dates. Link the grant to a project. As expenses are approved against the project, grant utilisation updates automatically.
For FCRA-regulated grants (foreign funds), tag the grant as FCRA. The system segregates FCRA utilisation separately for your annual FC-4 return.
Step 7 — Onboard volunteers
Create a new user account with the VOLUNTEER role from HR → Employees → Add Volunteer. Volunteers see a trimmed version of the PWA with clock-in, tasks and expense claims only. They are excluded from payroll and leave management.
Volunteer clock-in hours flow through the clock-in bridge into the attendance database with a source=volunteer tag. HR can view combined staff and volunteer attendance from HR → Attendance → All.
